Accounts Clerk – Warehouse Operations
About the Role
Duties and responsibilities
- Ensure the proper and correct documentary reflection of all movements/transfers of spare parts, materials and whole goods received to and from the company's warehouses or stocks.
- Reflect all movements of spare parts, materials and whole goods properly and timeously in the company's accounting software.
- Create correct item codes (part numbers) and proper descriptions for all newly received spare parts, materials, fuels, lubricants and whole goods.
- Effect issuance of correct Purchase Orders for inventory items to be delivered only after payment is done.
- Issue correct internal requisitions for inventory items as per requests of company management (CEO, CA).
- Record receipts of inventory goods by processing Purchase Invoices in the Palladium system.
- Receive reports of consumed inventory goods in the company's regional workshops and reflect them in the accounting software.
- Monitor the cost of inventory goods and report those whose cost exceeds selling price at any given point in time.
- Prepare audit schedules as directed by the CA and assist in furnishing auditors with requested information.
- Prepare information for costing of inventory goods when required.
- Participate in periodical (monthly, quarterly, yearly) inventory checks/stock takes jointly with the company's Storeman; record issued stocks in the stock journal and receive/store inventory in the Storeman's absence.
- Prepare all necessary reports requested by management (service vehicle, warranty spare parts).
- Prepare monthly opening and closing stock valuations per account and currency using historical rates.
- Execute, at the direction of management, duties of temporarily unavailable Accounts department employees.
- Comply with established procedures for storing documents and material assigned to the unit, and any other duties assigned.
- Comply with labour safety, fire safety rules and internal labour regulations, and undergo periodic training.
Requirements
- Experience in inventory accounting and stock control within a warehouse or spare-parts environment.
- Familiarity with the Palladium accounting system is an advantage.
- Strong attention to detail and accuracy in documentary and accounting reflection of stock movements.
