Job profile: Finance Officer. Ref: XVS/HR/JP/2026/FO-02.

Department: Finance. Reports to: Managing Director. Location: Harare (Greendale), with occasional travel to banks and project sites. Employment type: full-time, permanent (subject to probation). Experience: minimum 5 years in accounting and finance, 2+ at officer or supervisory level.

Job purpose

To run Xtreme Volt Solutions' finance function end-to-end: keeping accurate books, ensuring full tax and statutory compliance, controlling cash, producing reliable monthly management accounts, and supplying the financial information needed for tenders, bank-financed projects and investors.

Key responsibilities

• Accounting and reporting: maintain up-to-date books in QuickBooks Online / Odoo; prepare year-end schedules and support the external audit.
• Management accounts: prepare monthly management accounts by the 5th working day, income statement, balance sheet, cash flow, project profitability and budget-versus-actual variances, with commentary for the Managing Director.
• Inventory management: maintain stock records for panels, inverters, batteries and accessories; run monthly stock counts and reconcile to the ledger; value stock correctly; monitor stock levels, slow-moving items and reorder points; control stock issues to projects.
• Pricing regimes: set and maintain product and project pricing using landed cost, margins and exchange rates (USD and ZiG); review price lists regularly; price cash, credit, lay-by and instalment sales and tenders in line with approved margins and discount limits.
• Working capital management: manage the cash conversion cycle, debtors, stock and creditors; plan supplier payments and deposits; monitor liquidity and recommend short-term funding when needed.
• Liaison with banks: act as the main contact with FBC, Stanbic, Ecobank and other financiers; manage accounts, mandates and facilities; obtain bank statements, reference letters and guarantees for tenders; support bank-financed projects and client financing schemes.
• Tax and compliance: file and pay VAT, PAYE, NSSA, ZIMDEF and QPDs on time with zero penalties; keep the ZIMRA Tax Clearance (ITF 263) current; prepare the annual tax return.
• Payroll: run the monthly payroll on Belina accurately, maintain employee data and reconcile payroll to the ledger.
• Cash and controls: prepare weekly cash flow projections and payment schedules; manage petty cash and cash handling; enforce procurement and payment controls; complete monthly bank reconciliations.
• Debtors and credit: invoice promptly; apply the Credit Management Framework; maintain debtors age analysis and follow up overdue accounts.
• Budgeting and project finance: prepare the annual budget and variance reports; cost projects, quotations and tenders; prepare financial inputs for bank-financed and investor projects; report financial risks.
• Tenders and stakeholders: supply finance documents for tenders and supplier registrations on time; liaise with ZIMRA, NSSA, banks and auditors.
• Systems and records: keep a complete audit trail of finance records; drive the finance side of the Odoo ERP; supervise finance interns when assigned.

Key performance indicators

• Monthly management accounts: by the 5th working day.
• Bank and control account reconciliations: 100% by the 10th of the following month.
• Tax and statutory returns and payments: 100% on time, zero penalties.
• Payroll: on time, zero errors.
• Posting backlog / cash variances: zero.
• Debtors over 60 days: 10% or less of total debtors.
• Stock count variance: zero unexplained variances; monthly count completed.
• Price list review: updated at least monthly and on any major cost or exchange-rate change.
• Gross margin on sales and projects: at or above approved margin targets.
• Bank documents for tenders and financing: 100% supplied on time.

Qualifications and experience

• Essential: degree in Accounting, Finance or equivalent.
• Essential: part-qualified ACCA, CIMA, CIS or ICAZ (at least final level in progress); fully qualified is an advantage.
• Essential: 5+ years' finance experience, including hands-on ZIMRA tax filing, payroll, inventory control and unsupervised preparation of management accounts.
• Essential: practical experience in costing and pricing, working capital management and dealing with banks.
• Essential: proficiency in QuickBooks Online (or similar) and advanced Excel.
• Desirable: experience in solar, engineering, construction or project-based businesses; Belina Payroll and Odoo; IFRS for SMEs; project finance.
