Position Overview:
Council of Social Workers is seeking a highly organized, proactive, and versatile Assistant Administrator to support our operations. The successful candidate will play a critical role in ensuring the efficiency of our daily functions by providing comprehensive support across Board Secretariat services, Human Resources, Procurement, Logistics, and IT support.
Key Responsibilities:
1. Board Secretariat Services & Logistics
- Board Support: Assist in the preparation and distribution of board packs, meeting notices, and agendas.
- Minutes & Records: Attend board and committee meetings to record minutes and maintain the repository of board resolutions and corporate records.
- Logistics Management: Coordinate travel arrangements, accommodation, and transport for staff and board members.
- Event Planning: Oversee the logistics for workshops, stakeholder meetings, and conferences, ensuring all facilities and materials are prepared.
2. Human Resources & General Administration
- Maintain accurate personnel files and employee records.
- Assist in recruitment, onboarding, and tracking of employee leave and attendance.
- Manage office correspondence, reception duties, and internal communications.
- Maintain organized physical and digital filing systems.
3. Procurement & IT Support
- Manage procurement of office supplies and services, ensuring compliance with internal policies and tender regulations.
- Maintain vendor relationships and an up-to-date inventory register.
- Perform basic IT troubleshooting (printers, PCs, network issues) and coordinate with external IT consultants for complex technical support.
- Ensure data security and maintain regular system backups.
Required Qualifications & Skills:
- Education: Bachelor's Degree or Higher National Diploma in Business Administration, Office Management, Human Resources, or a related field.
- Experience: At least 2-3 years of experience in an administrative or office support role, with demonstrable experience in supporting a board or executive team.
- Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Excel, Word, Outlook) and basic competency in hardware/network troubleshooting.
- Soft Skills: High degree of discretion and ability to handle confidential information; exceptional organizational skills, specifically in logistics and meeting coordination; strong professional writing skills for drafting formal minutes and reports; a proactive, results-oriented mindset.
